Office Manager

LVODC seeks a part-time Office Manager who will work 20 hours per week in our office at 31 Maple Street, Oneonta, New York, at a salary of $25-30 per hour depending on qualifications and experience.  The Manager will be responsible for daily operations, record keeping, supporting the instructional program, and assisting with donor solicitations. The Manager reports to the Board of Directors and takes direction from its President.

Major Duties

1.   Coordinating the new tutor Intake procedure and assisting with new student Intake, pairing students and tutors and setting up initial meetings.

2.  Maintaining and updating tutor and student files.

3.  Soliciting monthly tutor reports by the fifth of each month and following up until all are received.

4.  Compiling data received via tutor reports.

5.  Maintaining monthly and cumulative records of student numbers, tutoring hours, and milestones achieved.

6.  Submitting a report for each Board meeting that includes  the information in #5 and major work accomplished since the last meeting.

7.  Coordinating the annual donor appeal by updating the postal mailing list, using mail merge to print the letters, cards, and envelopes, and mailing the letters.

8.  Maintaining and updating the LVODC email list for Newsletter distribution.

9.  Ordering educational and office supplies.

10.  Monitoring LVODC email:  replying to, forwarding and/or printing  pertinent messages; deleting  junk; checking email every non-holiday weekday and responding  to sensitive or important messages.

11.  Providing clerical support to Board committees as requested.

12.  Updating the LVODC website and Facebook page.

 

Qualifications

1.  Outstanding organizational skills including attention to detail and the ability to take initiative.

2.  Excellent working knowledge of Microsoft Office applications, especially Word and Excel, and such Google functions as Gmail, Contacts, Sheets, Password Manager, and Google Drive. Knowledge of  Squarespace a plus.

3.  Strong communication skills (writing, speaking, dealing with the public).

4.  At least two years of successful workforce experience and/or an academic credential in business administration or a related field.
